Event security: How to ensure event safety step by step (2026)

Complete guide to security at events and festivals. How many agents you need, what skills they must have, how to plan access control, and what to do in an emergency. Practical checklist.

Security agency for large events: access control

Are you planning a corporate party for 200 people, a festival, conference or public event? Security is often the last topic to be addressed, yet it is the one factor that can save or ruin the entire event. This guide is for organisers who want certainty that nothing will go wrong.

Why professional event security is a necessity, not a luxury

In 2026, strict rules apply in the Czech Republic for organising public events. Insurers require proof of security arrangements, municipal offices demand compliance with safety plan conditions, and for events exceeding 200 attendees it is practically mandatory.

However, regulation is only part of the story. Real incidents: fights, thefts, medical collapses, panic during evacuation, occur even at “calm” events. Professional security is the first line that either stops these incidents or handles them correctly.

How many guards do you need? The basic formula

There is no single correct number. It depends on the nature of the event. Guidelines for reference:

Event type Recommended ratio
Corporate parties, balls (indoor) 1 guard / 75-100 guests
Public cultural event, festival 1 guard per 50-75 visitors
Sports matches with fans 1 guard per 30-50 spectators
VIP event, exhibition with valuable goods Individually according to risk
Outdoor events with free entry 1 guard / 40-60 persons + perimeter security

For an event of 500 people in an enclosed space, allow for at least 6-8 guards, plus a security supervisor and a reserve team.

What a security guard must be able to do at an event

Event security is not the same as property guarding. A guard at an event must:

  • Managing communication with the public: assertively, but without escalation. An aggressive approach creates problems rather than solving them.
  • Know emergency procedures, location of the nearest AED, evacuation process, and who provides medical services.
  • Working in a team: event security is always a coordinated operation, not an individual performance
  • Control access points: metal detection, ticket checks, age verification for alcohol
  • Having first aid: basic certification should be standard

Ask the agency specifically: Do your guards have experience in event security, or will they send staff from the warehouse?

5 zones you must cover

1. Entrance perimeter

Queues are the number one location for conflicts. Clear signage, separate entrances (VIP, general, staff), ticket checks and security screening. This is where our most experienced personnel are deployed.

Mobile patrols covering the entire area. Key focus: bar and cloakroom, statistically the highest number of incidents.

3. VIP / backstage zone

Access only with accreditation. One guard is not enough here. You need an accreditation badge system and a list of approved persons.

4. Back-of-house facilities (catering, technical room)

Overlooked zone. Theft of equipment, unauthorised entry by staff or media.

5. Car parks and outdoor areas

The greatest risk occurs upon departure. Coordination with transport and supervision of queues for taxis/public transport.

How to plan event security: a checklist

6-8 weeks before the event:

  • Contact the security agency and provide the event scenario.
  • Approve the security plan (mandatory for events with over 200 people)
  • Define VIP and backstage zones and access rights

2-3 weeks before:

  • Finalise guard numbers and schedule
  • Arrange coordination with emergency services (ambulance, fire brigade) if the event exceeds 500 people.
  • Prepare evacuation plan and emergency exits

The day before the event:

  • Briefing of the entire security team, specific instructions, not general rules
  • Physical inspection of the venue
  • Test of communication equipment (radios/headsets)

On the day of the event:

  • Guards on site 60-90 minutes before opening
  • Entry control: metal detection, ticket checking, age verification
  • Regular check-in by the security supervisor every 30 minutes
  • Documentation of incidents (including minor ones)

What to do in the event of an incident

Every reputable agency has a protocol. If your supplier does not, it is a warning sign. Basic steps:

  1. Isolation: isolate the incident from the rest of the operation to prevent its spread.
  2. De-escalation: verbally, not physically, if the situation permits
  3. Calling for assistance: medical service / police / incident command according to severity
  4. Documentation: time, location, persons involved, and what occurred. Important for insurance claims and any potential criminal proceedings.

Typical mistakes made by organisers

We handle it with our own staff. Bartenders and hostesses are not trained to handle conflicts. More importantly, they are not insured. If your employee causes damage while resolving an incident, the problem is yours.

We’ll order it at the last minute. A good agency has its capacity booked weeks in advance. Agencies with availability the day before an event are there for a reason.

One guard is enough for us. One person cannot be at the entrance, inside and on the car park at the same time. The minimum effective team for an event with 100+ people is 3 people.

Most expensive = best. The price depends on experience, insurance coverage and equipment, but does not always reflect quality. Ask for references from specific events of a similar scale.
